How far in advance should you book a band or DJ?

How far in advance should you book a band or DJ?

Caroline and Dave's wedding rings

So you said yes. Now you’ve picked a date and you’ve picked a venue. Yay! Those are the two biggest components to lock down when you get started planning a wedding, so you’re off to a great start! But now what?

The next two things people usually lock down is:

  1. The caterer
  2. The band/DJ.

That’s all fine and dandy, but starting to make arrangements comes the tough part of wedding planning that no one likes to talk about: All those expenses and down deposits!

Because of this, you might start prioritizing and see how far you can spread out the bookings for your vendors. Totally understandable! So how far in advance do you need to book a band or dj to get exactly what you want? Well, the answer depends on a few variables concerning your wedding-

Wedding photo

1. HOW POPULAR IS YOUR WEDDING DAY?

As with any in-demand resource that’s limited in time and space (especially during wedding season), it’s usually best to book sooner than later. One big reason for this is limited time. Bands and DJs can only perform so many weddings in a day! If you ever work in the wedding industry, you’ll find that a CRAZY majority of wedding dates fall under 3 criteria:

  1. Saturday wedding date
  2. The date is usually one of the two middle Saturdays of a month
  3. The date is one of the two middle Saturdays in June, August, September, or October

Last year, in Georgia (where KLF Pro Entertainment is based) there were about 59,000 weddingsOver 90% of those had a band, DJ, or soloist performing.

As we’ve learned, most weddings happen on a Saturday, and most happen during 4 main months of the year (June, August, September, and October). So if the majority of people are getting married on those 16 Saturdays in a year, spots will fill up fast!

Turley Walsh Wedding Reception Dancing Band

2. HOW IN-DEMAND/GOOD IS THE ENTERTAINMENT?

No real surprise here: the best bands and DJs will book up first and fast.

If you’ve had your sights set on the #1-rated DJ or band in your area, chances are you’re not even close to the only one.

Those bands and DJs are the first ones to fill up. A lot of really popular bands are booked up 12, sometimes 16 months out EVERY weekend. It’s a great problem for musicians, but not so much for brides and grooms.

Live Exchange Party Band wedding reception

3. HOW MUCH MUSIC DO YOU NEED?

Some couples are stress-free and laid back with their planning. They may have an idea of what they want, but are more go with the flow. In those cases, where you’re ok with things being a little more free-flowing, it might be ok to wait a little longer.

However, if you have a very specific vision, with specific songs/arrangements, and you’re having a bigger band (and maybe they’re playing the ceremony, cocktail hour, AND reception), more lead time for the musicians = better results. Not to mention you won’t be pulling your own hair out trying to get everything thrown together last minute.

Same with a DJ- if you have a very specific playlist or song list in mind, it can take some time to put that together and make sure all the transitions and ebbs and flows of songs are in order.

DON’T START FREAKING OUT YET….

Despite all the warnings and stats in this post however, don’t let it stress you out too much.

Because there are a lot of DJs. And there are a lot of bands. And because of that, you’ll 99%-of-the-time be able to find some sort of entertainment option if you ‘accidentally’ wait till the 11th hour to find one.

Now, this is no guarantee you’ll get a Michael Buble or Bruno Mars protege, but you’ll be able to get SOMETHING.

The advice and guidelines listed here are just for getting your vision of your wedding delivered by a very capable entertainer. The longer you wait, the less the quality the entertainer (unless you get lucky of course, in which case, many props!)

TAKEAWAY

Although each and every situation is a little different, here is the rule of thumb for booking your wedding band or dj:

If your wedding is…..

  1. On a Saturday, try and book 8 months out
  2. On a weekday/Friday, try and book 5-6 months out
  3. In June, August, September, or October, try and book 10 months out
  4. Any other month, try and book 8 months out
  5. One of the two middle Saturdays in June, Aug, Sep, or Oct, try and book 12+ months out

Remembering September 11th

Let’s take a moment of silence today in honor of the people killed in the September 11, 2001 attacks.

Following the aftermath of September 11, 2001, September 11th was declared Patriot Day- and although not a national holiday, it is observed every year through various memorial services and ceremonies.

In New York City, the 9/11 Memorial is holding a Commemoration Ceremony and the “Tribute of Light”- which is a commemorative public art installation first presented six months after 9/11 and then every year thereafter, from dusk to dawn, on the night of September 11. It has become an iconic symbol that both honors those killed and celebrates the unbreakable spirit of New York.

Why work with KLF Pro Entertainment?

KLF Pro Entertainment is a company dedicated to exceeding our clients’ entertainment needs- no matter how big, small, or different the entertainment act. Whether this is your first experience booking entertainment, or you’re a seasoned planner, we want to give our clients the piece of mind of knowing that they have one less thing to worry about when it comes to the entertainment at their event. To be able to accomplish this, our company operates upon two foundational pillars:  Integrity and Humility.

KLF Foundational Pillars- Integrity and Humility

Integrity, or the quality of being honest and having strong moral principles, is essential to our business operation. KLF Pro Entertainment truly cares about doing things the right way, and the honest way. We aren’t a company that cuts corners and looks to make the extra dollar at the sacrifice of the customer.  In fact, it’s quite the opposite- KLF Pro Entertainment continuously will go the extra mile for their clients in order to fulfill their promise of “Creating Unforgettable Magical Moments”. We know that when we go out of our way to help make your event a success, everyone involved wins! Doing things the right way the first time is what gets us reviews like these from our customers:

“This band was likely the best decision of our entire wedding. KLF Pro Entertainment was recommended to us by a coworker. Kerwin took in what we were looking for in a band and man! did he deliver with Live Exchange Party Band. We had a hiccup or two in our decision process and Kerwin responded with phone calls, several emails, and a refreshingly personable approach to customer service. Planning a wedding means making 1000 hard decisions but Kerwin made this one of the most exciting and fun ones we got to make. I absolutely recommend KLF Pro Entertainment.
Live Exchange Party Band deserves more than 5 stars. They far exceeded any expectation we could have dreamed of. Once the dance floor opened, not a guest left it…seriously. They interacted with the audience and just created an amazing atmosphere that was the perfect celebration of our marriage. I just can’t say enough about the vocals and talent of these artists. The compliments of our guests directed toward this band are still rolling in….weeks later. They really are that good. Highly recommended.” -Cheney R., Google Review

“Kerwin & Staff – everyone was Awesome. They made doing business easy, pleasurable, and they were very professional. We had the Infinity Show Band for our event and they were Phenomenal – our group was engaged – they kept us on the floor & we thoroughly enjoyed them! In fact, this is the second year we hired the band and we are looking forward to future events.” -John J., Google Review

Humility, or a modest or low view of one’s own importance, is another key foundational pillar of KLF Pro Entertainment. At KLF Pro Entertainment, we always put the customers before ourselves, and we know that not having an ego goes a long way. A lot of times the biggest problem we see are vendors with an ego problem, and they think the event revolves around them. We know that that is the exact OPPOSITE from true and we recognize that we are only one vendor out of many that are working to make your event a success. Therefore, we work hard to make sure YOU have the least amount of issues to deal with as possible, and try to take all your worries away so you can spend the time at your event having FUN instead of chasing down your vendors.  Being humble in the way we do business generates results like this:

“The Infinity Show band is the best ever! They played for my daughter’s debutante party about 5 years ago and she requested them again to play for her wedding this past November. The guests absolutely loved them! They engaged the whole audience from the beginning to end. Kerwin and his staff is such a pleasure to work with. They go above and beyond to make it a special affair.” -Laura P., Google Review

“I am the Executive Director of Civentum and just took over the promotional and development contract for the Morrow Event Center in Morrow, GA. KLF provided top notch and personalized entertainment for our open house. From the booking to the execution, Kerwin and his team (especially his assistant, Savannah) made it easy and enjoyable. We received many compliments on our open house and the ambiance KLF created was a huge part of our success.” – Robb M., Google Review

A Modern Rustic Wedding With Party At The Limit Band

It may have technically still been winter on this March wedding, but the weather was unseasonably warm, making it feel like spring already!

This wedding took place at the Foundry at Puritan Mill– a venue that began as a soap factory in 1921, and was converted into the perfect modern-rustic event space in 2000.

The wedding party looked fantastic against the backdrop of the mill, and of course the wedding party isn’t complete without man’s best friend!

Finally, the bride and groom said “I do!”

Party At The Limit Band’s DJ played “Sparks” By Coldplay for Kim and Richard’s first dance. The sunset peeping through the window added the perfect romantic touch!

How can you get anymore perfect than a song called “Father and Daughter” for your Father/Daughter dance?

Richard and his mom decided to do a mash up of “How Can You Keep The Music Playing” by Tony Bennett, followed by “September” by Earth, Wind, and Fire.

Our Party At The Limit Band kicked it up and put on a mix of pop, R&B, classic rock, and country. They even enlisted the help of one small guest who had some BIG vocals!

Kim and Richard’s grand exit was accompanied by about a million bubbles, along with their family and friends. And what better way to end the night than with a kiss and a smile?

An Elegant Spring Wedding with Live Exchange Party Band

This Georgia wedding took place at the Penfield Presbyterian Church

The bride and her bridesmaids spend the morning getting ready lakeside, enjoying the spring air!

Cheney and Ben couldn’t wait to get their first look!

Finally, they were able to say…

Then everyone made their way over to the Harbor Club for the reception!

The bride and groom danced their first official dance as husband and wife to “Higher and Higher” By Jackie Wilson.

Cheney and her father danced to a mash-up of the classic song “My Girl” and “Get Down Tonight”, while Ben and his mom grooved to Van Morrison’s “Into the Mystic”.

Then everyone got their chance to bust a move! Live Exchange kept the dance floor packed all night long.

At the end of the night, we sent off Cheney and Ben with a fun sparkler exit- the perfect way to end the night!
